CANCELLATION POLICY

Book Tournaments with Peace of Mind

At USSSAPlay.com, we strive to provide a seamless and enjoyable experience for all participants. However, we recognize that unforeseen circumstances may require the cancellation of tournaments. Please review our cancellation policy, which outlines the terms for cancellations due to weather, tournament director decisions, and team cancellations.

1. Weather-Related Cancellations
USSSA tournaments are subject to weather conditions, and the safety of participants is our top priority. In the event of weather-related cancellations:

  • Before the Tournament Begins:
    If a tournament is canceled due to weather before any games have started, teams will receive a 95% refund of their registration fee or a 100% credit toward a future tournament.
  • During Pool Play:
    If a tournament is canceled during pool play and fewer than two games are completed, teams will receive a 50% credit toward a future tournament.
  • During Bracket Play:
    If a tournament is canceled after bracket play has started, no refunds or credits will be issued.
  • Rainout Decisions:
    Rainout decisions will be made by the Tournament Director and communicated to teams via any combination of email, text, the tournament website, and social media.

2. Tournament Director Cancellations
Tournament Directors reserve the right to cancel a tournament due to insufficient registrations, field availability, or other logistical or security concerns.

  • 14 Days or More Before the Tournament:
    If a tournament is canceled by the director at least 14 days prior to the event, teams will receive a 100% refund or credit towards a future tournament.
  • Less Than 14 Days Before the Tournament:
    If a tournament is canceled by the director less than 14 days before the event, teams will receive a 100% credit toward a future tournament.

Note: USSSAPlay.com is not responsible for non-refundable travel or accommodation expenses incurred by teams.

3. Team-Initiated Cancellations
Teams are allowed to cancel their participation under the following terms:

  • 30 Days or More Before the Tournament:
    Teams that cancel at least 30 days prior to the tournament start date will receive a 90% refund of their registration fee or 100% credit towards a future tournament.
  • 29 Days or Less Before the Tournament:
    No refunds or credits will be issued for cancellations made within 29 days of the tournament.

Exception: If a team provides proof of extraordinary circumstances (e.g., a natural disaster, team disbandment), the Tournament Director may grant a partial credit on a case-by-case basis.

4. Force Majeure
In the event of circumstances beyond the control of USSSAPlay.com (e.g., natural disasters, government restrictions, pandemics), we will assess each situation individually and determine an appropriate refund or credit policy based on the timing and extent of the disruption.

5. Refund and Credit Process
Refunds will be processed within 14 business days after a cancellation request is approved.

Credits will be issued to the team’s account on USSSAPlay.com and must be used within 12 months of issuance.

To cancel your participation or request a refund, please email cancellations@usssaplay.com or call us at (970) 344-9094. Include your team name, tournament name, and reason for cancellation in your request.

7. Important Notes
Refunds are issued for the registration fee only and do not include additional charges such as gate fees or merchandise purchases.

Teams that fail to show up for a tournament without prior notice are not eligible for any refund or credit.

For any disputes, the decision of the Tournament Director is final.
